About the Role
We have an exciting opportunity for a part time Reception Administration Officer to join the Ngala team. This is a 6 month contract with potential to be extended, to cover an internal secondment. Reporting to the Coordinator of Administration and Support Services, you will be responsible for welcoming visitors and staff in a professional manner and liaising with and providing administrative support to a variety of people and services within the organisation. This position also works additional hours as needed to provide relief for staff absences across administration functions.
Duties
Responsibilities include but are not limited to:
- Opening and closing the building.
- Greeting staff and visitors in accordance with access procedures.
- Monitoring and responding to general enquiries and emails.
- Oversee room bookings and hire requests.
- Maintaining meeting rooms and providing support with set up and catering.
- Provide switchboard cover.
- Record and distribute mail.
- Coordinate student placements within the private hospital.
- Provide administrative support such as preparing reports, minute taking, data entry.
- Liaising with property and procurement services to schedule and communicate works and monitor and distribute small deliveries.
About You
The successful candidate will be highly motivated, have strong communication skills and be a flexible self-starter with the ability to multitask and prioritise. You will be familiar with the Microsoft Office suite of programs and use your intermediate or higher level IT skills to offer general technical support to staff and to assist with video conferencing requirements. You will be able to use your initiative to improve systems and processes and have a commitment to quality.
The successful candidate must possess a satisfactory National Police Clearance issued within the last 6 months.
